Front Office Coordinator

Primary Location: Olympia, WA

Secondary Location: Tacoma, WA (2 days per week + vacation coverage)

Front Desk duties:

  • Check in/out clients and interpreters
  • Answer telephone and schedule appointments
  • Referral processing
  • Handle telephone inquiries from referring doctors, vocational counselors, claims managers, nurse case managers, interpreters and any other party involved in client coordination of care
  • Client treatment authorizations
  • Mail scheduling letters and packets to appropriate parties
  • Check messages each morning to record cancellations, absences and scheduling changes.
  • Place reminder calls to all clients prior to their appointment
  • Documentation for client charts
  • Qualis authorization and follow up
  • FCE/DC/Progress Note follow up for signed concurrence
  • Private insurance benefit verification
  • Office supply inventory management
  • Medical Records copying and billing
  • Report preparation for COM
  • RunRate database daily input
  • Chart and authorization review

 

Assisting other clinics:

  • Intake processing for Vancouver office as needed (in Olympia)
  • Vacation coverage for Tacoma office

 

Special Projects:

  • Outcome Database
  • Other projects as assigned by COO
